Job Title: Senior Procurement & Logistics Officer
Job location: Khartoum State, Sudan
Reports to: Country Director

Job Summary

The Senior Procurement & Logistics Officer is responsible for overseeing and executing strategic procurement activities, managing vendor relationships, ensuring cost-effectiveness, and coordinating end-to-end logistics operations. The role ensures timely availability of quality goods and services, compliance with organizational policies, and effective supply chain performance.


MAIN DUTIES AND RESPONSIBILITIES

A. Procurement Management

• Lead the procurement process from planning, tendering, evaluation, negotiation, to contract award.
• Develop and implement procurement strategies to reduce cost and improve efficiency.
• Prepare RFQs, RFPs, bid documents, and procurement contracts.
• Maintain an updated supplier database and conduct regular supplier performance reviews.
• Ensure all procurement activities comply with organizational policies and donor/regulatory requirements.
• Conduct market research, price analysis, and risk assessments.


B. Logistics & Supply Chain Coordination

• Plan and coordinate transportation of goods, materials, and equipment.
• Monitor shipment progress and resolve logistical issues, delays, or damages.
• Manage inventory levels, stock replenishment, and warehouse operations.
• Ensure proper documentation of shipping, customs clearance, and delivery.


C. Contract & Vendor Management

• Negotiate terms and conditions with vendors to secure optimal pricing and quality.

• Track contract renewal schedules and ensure timely reviews.
• Manage disputes and performance issues with suppliers and service providers.


D. Compliance & Reporting

 Maintain accurate procurement and logistics records for audit readiness.

 Prepare monthly procurement status reports and logistics activity reports.

 Ensure adherence to ethical procurement practices and zero tolerance for fraud.
